Timesheet Submission Terms and Conditions

By submitting the timesheet, I acknowledge and agree to the following:

1. Accurate Records

I confirm that the information submitted in this timesheet is true and accurate to the best of my knowledge.

I must accurately record my check-in time, check-out time, breaks, personal time, tasks performed and working hours, and must not knowingly provide false, misleading or incomplete information.

2. Check-In and Check-Out Times

Check-in and check-out times record the times at which I arrive at and leave the workplace.

I understand that my presence at the workplace does not, by itself, mean that the entire period between check-in and check-out constitutes paid working time.

Paid working time is determined by the time during which I perform authorised work for DeLovely Cake Design and Academy.

Breaks, personal activities and other periods during which I am not performing work for DeLovely must be recorded accurately and must not be included as working time.

3. Project Budget Time

DeLovely may allocate a reasonable Budget Time to a cake, project or production task based on the nature and complexity of the work, required quality standards and the time reasonably expected for a suitably skilled employee performing the work with reasonable efficiency.

Budget Time is used for production planning, costing and performance management.

Employees are expected to work efficiently and make reasonable efforts to complete assigned work within the allocated Budget Time.

4. Work Exceeding Budget Time

If I reasonably believe that an assigned task cannot be completed within its Budget Time, I must notify the responsible manager before the Budget Time expires or as soon as I become aware that additional time may be required.

I must explain:

  • why additional time is required;
  • the current progress of the work;
  • any circumstances contributing to the delay; and
  • the estimated additional time required.

The responsible manager will determine whether additional time is approved or whether the work should be stopped, deferred, reassigned or otherwise managed.

5. Additional Hours and Overtime Require Prior Approval

I must not independently extend my working hours, remain at work to complete unfinished tasks, commence additional work, or perform overtime without prior approval from the responsible manager, except where obtaining prior approval is not reasonably practicable because of an emergency or exceptional circumstance.

Where additional working time is required, I must obtain approval before the additional time is worked.

Where required, approval must be recorded in writing, including by approved electronic communication.

Remaining at the workplace after my scheduled, agreed or authorised working time does not, by itself, constitute approval to perform additional paid work.

6. Unauthorised Additional Work

I understand that I must not use slow work performance, failure to complete work within reasonable Budget Time, or my own decision to remain at the workplace as a basis for unilaterally extending my working hours.

Working additional hours without required approval may constitute a failure to follow a reasonable workplace direction and may be addressed as a performance or conduct matter.

However, I must still accurately report any work actually performed. Nothing in these Terms and Conditions requires or permits me to conceal, omit or under-record actual working time or limits any minimum entitlement that applies under workplace law or an applicable award.

7. Manager Review

Submitted timesheets are subject to review and verification by management against relevant records, including:

  • approved shifts or working hours;
  • project and task allocations;
  • Budget Times;
  • breaks and personal time;
  • approvals for additional hours;
  • production records; and
  • other relevant workplace records.

If management identifies an inconsistency or requires clarification, the employee may be asked to explain or correct the timesheet.

No alteration will be made for the purpose of concealing or reducing working time that is required to be recorded or paid under applicable workplace laws.

8. Employee Declaration

By submitting this timesheet, I confirm that:

(a) I have accurately recorded my attendance, breaks, personal time and work performed;

(b) I have identified any work performed beyond the applicable Budget Time or my scheduled, agreed or authorised working hours;

(c) where additional working time required prior approval, I sought that approval in accordance with company policy;

(d) I have not knowingly included personal or non-working time as working time;

(e) I understand that I must not independently extend my working hours for the purpose of completing work or generating additional paid hours; and

(f) I understand that my timesheet will be reviewed and paid in accordance with my employment terms and authorised working arrangements.
